Duties and Responsibilities:
Reporting to the Manager, Corporate Asset Planning, this position is responsible for:
- Supporting the Corporate Asset Planning Division of the Capital Planning and Corporate Energy Department in two primary areas: the development and publication of the City’s Corporate Asset Management Plan, along with related reports, data and survey’s, and the Corporate Grants Program.
- Supporting a number of special project and administrative and financial functions that support all of the divisions of the Capital Planning and Corporate Energy Department.
- Maintaining database information related to the City’s infrastructure assets, ensuring that information is complete and follow up on outstanding items.
- Ensuring consistency in AMP data, including formatting, grammar and calculations.
- Maintaining the Corporate Grants Program information and systems, including application status, reporting requirements, upcoming deadlines, claims status, cashflow, etc. and for the preparation of monthly, quarterly, and annual statistics and reports for Senior Management review.
- Researching available grant opportunities and developing summary documents for distribution to Asset Coordinators.
- Coordinating and scheduling meetings with departmental staff across all areas and levels of the organization, taking minutes and ensuring action items are followed up on.
- Entering departmental reports (CAO, CAOP) into Agenda.net and for monitoring workflow.
- Managing the Docusign process for all Corporate Grant documents, including application, transfer payment agreements, claims, and other related documentation.
- Supporting the publication of the Corporate Asset Management Plan, along with all required updates and annual reporting needs, including the preparation of graphic and statistical information, including the visual presentation of AMP data
- Inputting accounts payable vouchers, purchasing documents, and provides backup support for the Corporate Utilities pre-authorized payment process.
- Providing administrative and clerical support to the Executive Director of Capital Planning and Corporate Energy, along with support to the Corporate Energy Initiatives and Capital & Reserves divisions of Asset Planning.
- Maintaining the Grants inbox, contact lists, distributes communication as required and liaising/responding to both internal and external inquires.
- Maintaining content on the internal dashboard site and external website for the Department.
- Will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program.
- Will perform other related duties as required.
Qualifications:
- Must have a two (2) year post secondary school Diploma in Business Administration, Finance, or Data Management.
- Must have over one (1) year of work experience in a professional office environment in roles involving data management, reporting, and administrative coordination.
- Must have proven oral and written communication skills.
- Must have excellent interpersonal skills and the ability to work with minimum supervision.
- Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with the work.
